Leaders Programme

Practical information

The Leaders Programme offers an exclusive agenda of activities and networking occasions at ITU Telecom World 2017 for the highest-level representatives of governments, corporates and SMEs in the ICT sector. Admission to the Leader Programme is by invitation only. Contact us directly if you have not yet received an invitation and think you may be eligible.

Registration  


Leaders

Leaders are registered by ITU. If your participation is confirmed, you should have received your confirmation of registration. Contact us if you have not received confirmation of registration.

Leaders’ spouses & spouse programme

As a Leader pass holder, if your spouse is accompanying you and would like to access the venue, contact us to complete their registration and find out more on the special spouse tours organized by the host country during the event (charges may apply).

Accompanying persons & national delegations

Accompanying persons and members of national delegations must register individually online. Focal points are asked to encourage their delegation members to complete their registration prior to the event.

Focal points should have received registration codes and discount codes. If this is not the case, contact us.

If you are a delegation member and have received a registration code from your focal point, click here to register.

For last-minute registration at the event, delegation members must have their registration code and the contact details of their focal point. You are reminded that discount codes are valid until 20 September 2017.

How to collect your pass

Badges can only be collected after registration is completed online (or by ITU in the case of Leaders only) or at the registration desks onsite.

All badges must be collected personally as a photograph will be taken and printed on the badge for access control security. All badges are strictly non-transferable.

For Leader pass holders only, an authorized focal point may collect the Leader pass on behalf of the Leader if an ID photograph of the Leader and the name of the focal point have been provided to us in advance.  The photograph must be 500 kb maximum, in jpg, png or gif format, passport style (portrait), in colour, and taken against a plain or white background. If a suitable photograph and the name of the focal point collecting the badge are not provided in advance, Leaders must collect their own badges in person.

Leader registration desks are located on the ground floor of Exhibition Center I in BEXCO, close to the entrance to Hall 1. Opening times are as follows:

 

  • 22 – 24 September: 09:00-18:00
  • 25 September: 08:00-18:00
  • 26 & 27 September: 09:00-18:00
  • 28 September: 09:00-14:30

Transport & Accommodation  


Visas to enter the Republic of Korea

All participants are requested to obtain their own valid travel documents, such as passport and visas, for travel to Busan.

Venue

The event will be held at the Busan Exhibition & Convention Center (BEXCO), located in the Haeundae Beach district of Busan. BEXCO is a 45 minute drive from Gimhae International Airport, and a 30 minute drive from Busan Train Station.

Transport in Busan

For all participants

The venue is served by a range of public transportation services.  In addition, a free shuttle bus service will run at regular times throughout the event between the official hotel areas and the venue. More information will be available here soon.

Ministers

Courtesy
The Government of the Republic of Korea will extend courtesy transport to Ministers between Gim-hae international airport, hotels and the venue. Ministers will receive an invitation to RSVP with arrival and departure details as of July 2017.

Parking

Each Leader is entitled to one (1) vehicle pass allowing parking at the venue. Vehicle passes will be provided at the Leaders Registration Desk onsite upon request. Click here to view the location of the parking area.

Speaking role

Our Forum team will contact any Leader pass holders with a speaking role at the event to confirm all associated arrangements. Contact the team directly with any questions you may have.

Ministerial Roundtable

All Ministers are invited to speak in the Ministerial Roundtable. As session allocations will be made on a “first-come, first-served” basis, please contact the Forum team at your earliest convenience to confirm your interest in speaking in the roundtable. LeaderSpace and Meeting Facilitation  


LeaderSpace

The LeaderSpace is an exclusive lounge for Leader and Executive pass holders only. It offers a relaxing area for informal meetings, a bar serving beverages and light snacks, and three private meeting rooms (boardroom style, one for 16 persons, 2 for 8 persons), which may be booked via the Concierge Service.

Leaders may also access the LeaderSpace accompanied by one (1) non-Leader pass holder.

Bilateral meeting facilitation

As part of the Concierge Service, we offer to assist Leaders in arranging bilateral meetings during the event. Contact us as of 15 August with the name of the companies, countries and individuals that you would like to meet, and we will do our very best to meet your request.

Meeting room booking

Meetings can be arranged at the LeaderSpace either in the open meeting area or in one of the three private meeting rooms.

Both options are available on a “first-come-first-served” basis. Private meeting rooms can be booked for up to one (1) hour.

Please submit your booking request stating the date and time of the meeting, the number of participants, and contact details of the organizer of the meeting.

The event mobile app

Available across all mobile platforms, tablets and PCs, the Event App allows you to network and interact with other participants during the event – and to continue the conversations afterwards, too. As a registered participant in ITU Telecom World 2017, you will be listed as an attendee in the App and will receive a welcome email with details on how to download the App. Should you wish to remove your name or the name of a Leader pass holder from the list of attendees available on the App, contact us.

If you are a focal point, please make sure that you have communicated the email address of the head of your delegation to guestrelations.telecom@itu.int. Otherwise, your head of delegation will not receive the App welcome email and will not be able to download and use the App.

Concierge Service  


The Concierge Service is an exclusive point of contact providing assistance to Leader pass holders on all issues relating to your participation in the event, including visa and transport inquiries, meeting facilitation and room booking.

The Concierge Service can be contacted by email at guestrelations.telecom@itu.int or  by phone at +41 (0) 22 730 5886 or 5437. During the event, you can also come to the Welcome Desk in the entrance to the LeaderSpace.

Logistical arrangements for Ministers

The Government of the Republic of Korea will extend courtesy transport to Ministers between Gim-hae international airport, hotels and the venue. Ministers will receive an invitation to RSVP with arrival and departure details as of July 2017.
The Republic of Korea will provide one dedicated liaison officer to each visiting Minister – contact details will be communicated in the coming months.

Full access to the VIP lounge at Busan international airport will be granted to Ministers on a complimentary basis.

A digital invitation requiring an RSVP will be addressed to Ministers mid-July 2017, asking to confirm attendance at a series of key sessions and social occasions, some of which have limited capacity. Personalized agendas will then be prepared and sent to each Minister.

In the meantime, we invite Ministers and their focal points to check the agenda highlights or the full event programme.

Logistical arrangements for all Leaders

All participants are encouraged to check  the list of official hotels (available on this page soon) and may book accommodation online or through the travel agency of their choice.

Pease note that ITU is unfortunately unable to book hotel rooms on behalf of any other organization.

A free shuttle bus service will be running during the event at regular times between the official hotel areas and the venue. More information will be available here soon.
All participants are responsible for obtaining their own valid travel documents such as passports and visas. More information on visa requirements and application procedures will be available here shortly.
All expenses must be covered by the participants themselves.

However, a limited number of fellowships are available for ITU Member State Administrations in Low Income Countries (LICs) and Least Developed Countries (LDCs), dependent on application criteria. For more information, please contact the ITU fellowship service.

Registration and access passes

Leaders must first accept their invitation to participate in the event and confirm attendance to guestrelations.telecom@itu.int.

ITU will then register them for a Leader pass and issue confirmation of registration. Leader passes grant access to the Opening Ceremony and Leadership Summit on Monday 25 September, to the Forum, the Exhibition, the LeaderSpace lounge and to a wide range of social events and networking occasions.

ITU is pleased to extend a quota of courtesy access passes to Member State delegations as well as a discount for any additional pass purchases.

Please remember that, with the exception of Leader pass holders, all participants in ITU Telecom World 2017 must complete their individual registration either online or at the registration desks onsite.

All persons who need to access the venue for the event must be registered and issued with a badge.  Please contact us for Leader spouse registration details.

Badge collection

Badges are issued onsite as of 22 September, and can only be collected after registration is completed and participants are in receipt of a Confirmation of Registration email. If you have not received your confirmation of registration, contact us.

Leaders may collect their badge personally at the Leader registration desk, or an authorized focal point may collect their pass on their behalf if the Leader ID photograph and the name of the focal point have been provided to us in advance.

Exceptionally for Leader pass holders, an authorized focal point may collect their pass on their behalf if an ID photograph of the Leader and the name of the focal point have been provided to us in advance. For more information, click here.
With the exception of Leader badges which, under certain conditions, can be collected by another person, all badges must be collected personally as a photograph will be taken on the spot and printed on the badge.

For security reasons ITU cannot accept photographs submitted in advance for non-Leader pass holders under any circumstances. Badges will not be issued even if authorized focal points present photographs of the delegation members and have corresponding ID cards.

Meeting facilitation

We can help put Leaders in touch with each other to arrange bilateral meetings during the event. The procedure is as follows:

1) Contact guestrelations.telecom@itu.int  to receive the list of Leaders whose participation in the event is confirmed.

2) Provide guestrelations.telecom@itu.int  with the name of the companies, countries and individuals you would like to meet, stating: date and time of the meeting, number of participants, contact details of the organizer of the meeting and a brief text introducing their meeting.

3) ITU will then reach out to focal points in the respective organizations to facilitate contact so that meeting arrangements can be established.

Leaders are invited to share expert views and opinions, best practices and strategic visions  in an exclusive ITU Telecom video interview filmed at our onsite TV studio. Interviews will be posted on the event web page, ITU Telecom YouTube channel, and across ITU’s social media channels; you are also encouraged to share the videos on your own platforms. To take part in media interviews or offer comments to the press, get in touch with our PR team. If you provide the name and contact details of a focal point within your organization responsible for press matters, our PR Team will also contact you should an appropriate opportunity arise.

Your accompanying media

If media are accompanying your delegation and can provide the required credentials, apply for media accreditation here.

Media and communications officers accompanying delegations do not fall under the category of media and should register in the same way as other members of your delegation – by using one of your quota of courtesy passes or by purchasing an additional pass.
